We collect personal information to provide you with the real estate services you have requested, including property sales, purchases, leasing, and property management. We also collect information to manage our relationship with you, respond to your enquiries, and for purposes of direct marketing and service improvement. From time to time, we may offer you additional products or services relevant to your property needs.

Depending on your dealings with us, the personal information we collect and hold may include:
Contact and identity details: name, residential and postal address, email, phone number, date of birth, and details from identity documents (e.g. driver licence, passport).
Rental and tenancy information: rental history, references, application details, employment information and income verification you provide.
Property transaction information: details related to buying, selling, leasing or managing property, including offers, contracts and communications with vendors, purchasers, landlords and tenants.
Financial details (where relevant to a transaction): bank account details for rental payments or refunds, trust receipts, bond lodgement information and payment confirmations.
Preferences: property interests and communication preferences (including marketing opt‑ins/opt‑outs).
Sensitive information (only with consent or as required/authorised by law): information you choose to share with us such as health‑related details or information about any vulnerability to help us tailor our service (e.g. accessibility needs).
How personal information is collected and held
Collection methods. We collect personal information:
Directly from you at open home inspections, through rental or sales application expression of interest forms (paper or online), via email/phone, and through our website or portals; and
From third parties you authorise, such as referees, previous or current agents/landlords, identity‑verification providers, trades and professional advisers involved in your transaction.
Storage and security.
We hold personal information in secure electronic systems and locked physical files. We apply technical and organisational measures to protect it from misuse, interference and loss, and from unauthorised access, modification or disclosure (for example: role‑based access controls, staff training, encryption in transit/at rest where applicable, secure disposal procedures, and vendor due diligence). If we receive personal information we did not solicit, we handle it in accordance with APP 4
Purposes for which personal information is collected, held, used and disclosed
We use and disclose personal information to:
Provide and manage real estate services you request (property sales, purchases, leasing and property management) and administer our relationship with you.
Verify identity and assess rental applications, conduct reference checks, manage tenancy obligations, arrange repairs/maintenance, and communicate about inspections and tenancy matters.
Meet legal and regulatory obligations, including trust accounting, bond lodgement, record‑keeping and responding to lawful requests from regulators, tribunals or courts.
Prevent fraud and protect security, including verifying information and managing risks.
Improve our services and communications.
Conduct direct marketing about property services that may be relevant to you; you can opt out at any time (see Contact page, or details below).
We only use or disclose personal information for the primary purpose for which it was collected, for related purposes you would reasonably expect, or otherwise with your consent or as required/authorised by law.
How you may access and seek correction of your personal information
You may request access to or correction of the personal information we hold about you by contacting us (see see Contact page, or details below).
We will acknowledge your request and aim to respond within 30 days (or inform you if more time is required).
We may need to verify your identity and, where permitted, charge a reasonable cost‑recovery fee for providing access (we will tell you any fee in advance).
If we decline access or correction (for example, due to legal constraints), we will explain why, and you may ask us to associate a statement with the record setting out your correction position.
How to complain and how we will handle your complaint

2. We will acknowledge within 7 days and aim to resolve within 30 days.
3. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
Some of our service providers or related vendors are located outside Australia. This means your personal information may be disclosed to overseas recipients to help us deliver our services (for example, cloud hosting, customer support, identity verification or data storage/backup).
We take reasonable steps (such as contractual safeguards, vendor assessments and controls) to ensure overseas recipients handle personal information in accordance with the APPs.
Countries: We are likely to disclose limited personal information to recipients in the Philippines. (We also use Australian‑based service providers; these are not overseas recipients.)
